An enterprise was undergoing a large multi-site infrastructure migration where task information was tracked and stored in a Microsoft Project File. Unfortunately, with a large (40,000+ lines) and dynamic schedule, the project manager had difficulty navigating the current progress or validating that it was correct. Additionally, teams were slow to compile schedule information and were frequently late inputting their updates. After converting the Microsoft Project to a searchable and navigable view, SEMOSS allowed project managers and other stakeholders to answer the following questions using dynamic insights that changed every time data changed.
How can I identify late sites?
By blending schedule information with geographic and contact information, project managers were able to apply business rules to identify sites with late tasks. In the map visualization, the size of each circle represents the number of tasks at each site. To further organize the data, each site is categorized into colors which represent the status of each site. This created identifiable actions that allowed the project manager to break down the subtasks of that site, directly contact the task owners, and solve any issues.
How can I see progress at a site?
SEMOSS was able to create multiple views and dashbaords tailored to the stakeholder. Selecting a site on this view shows which tasks are late (yellow) and which critical tasks are falling behind (pink). With this view, site owners were able to easily track their tasks as well as identify tasks that are in danger of becoming late.
How can I add information to the dashboards?
Qualitative information was not included in the original schedule, leading to many questions. When a task was in danger of becoming late, there was no way for owners to justify and provide a reason why. Forms within SEMOSS allowed task owners to comment directly to the data and collaborate in real-time. Further, it eliminated the need for redundant status meetings and PowerPoints as SEMOSS was able to send out email alerts when comments were added, or tasks may become late.
